Listing lifecycle at a glance Every property moves through a small set of states. Understanding them prevents accidental edits to closed deals and clarifies why a listing might not appear in search. | State | Visible on Active tab? | Meaning | |-------|------------------------|---------| | Draft | Yes | Incomplete or intentionally unpublished work | | Active | Yes | Approved live inventory (subject to team rules) | | Pending approval | Yes (with badge) | Submitted change awaiting reviewer | | Archived | No (use Archive tab/page) | Delisted; kept for history | Archived is not the same as draft. Archive means “off market but preserved.” Draft means “still preparing.” Draft listings Agents save draft when: Photos or pricing are not finalized Owner approval is pending offline The record is a template for a building batch Drafts appear on the Active tab with a draft badge. They may or may not participate in matching depending on team configuration — treat drafts as internal until promoted to active . Moving draft → active often triggers approval if your team requires review for new listings. Active listings Active listings are the team’s source of truth for available inventory. They appear in buyer request matching, customer conversations, and filtered exports. Edits to active listings may: Apply immediately (if approvals disabled) Create a pending update proposal (if approvals enabled) Require unlock if another agent holds the edit lock Pending approval overlays When approvals are on, creates/updates/deletes produce change proposals . Until resolved: Cards show Pending create , Pending update , or Pending delete Effective fields may differ from the approved baseline on the detail page Submitters track status under Approvals → My submissions Approved proposals apply changes; rejected ones leave the prior version intact (or keep the draft, for creates). Archiving a listing When a listing sells, rents, or is withdrawn: 1. Open the property detail page 2. Choose Archive (or equivalent action from the menu) Archiving removes the listing from default active search and matching. It does not delete history — activity records, linked customers, and past approvals remain. Archive page Properties → Archive lists all archived records. Use it to: Review what left the market this month Restore a listing that returned to market See who archived and when (via detail or activity history if available) Restored listings re-enter the active pool, often as drafts or active depending on the restore flow — verify status after restore. Delete vs archive Anymelk favors archive for normal delisting. Hard delete may appear only inside approval steps (proposed delete) or for admins with special permission. Default to archive so reporting and client history stay intact. Status tab: Archive shortcut The list’s Archive tab mirrors archived inventory without leaving the main list view. The dedicated archive page adds restore tooling and may show extra columns for archived-at timestamps. Common scenarios Deal closed — remove from matching Archive the property the same day. Matches on open buyer requests should drop on next refresh. Owner relisting next season Archive now; restore in spring and update price before setting active again. Wrong listing created If never approved, withdraw the pending proposal or archive the draft. Avoid leaving junk in active filters. Dispute on pending edit Reviewer rejects the proposal; listing stays on last approved version. Submitter edits again or discusses offline. Team practices Weekly archive sweep — Managers scan active list for sold units still showing Naming — Titles with unit numbers make archive audits faster Communicate — Tell the team when a high-traffic listing archives so no one pitches it Clear status hygiene keeps clients seeing only real options and keeps your match notifications trustworthy.
