Members and invitations
Inviting a new teammate You need invite permission (often paired with member management). From Team → Invitations : 1. Click Invite member (or similar) 2. Enter the colleague’s email address 3. Select one or more roles that define their access 4. Send the invitation The recipient receives an email with acceptance instructions. Until they accept, they appear as pending on the Invitations tab and in their personal Invitations inbox. Invite tips Use work emails when possible — easier offboarding later Assign the least access role that still lets them work; upgrade later Resend if they cannot find the message (spam folders) Revoke invites sent to wrong addresses before someone else accepts Accepting invitations (invitee view) If you received an invite, switch to Personal workspace , open Invitations , and accept. Then select the team in the switcher. Your permissions apply immediately from assigned roles. Members table The Members tab lists active team users in a table format: Identity — name, email, avatar Roles — badges showing assigned role names Joined date or last activity (when shown) Actions — edit roles, remove from team, view profile detail Click a row to open member detail when deep links exist — useful for checking one person’s role history. Changing roles Select a member → Edit roles → pick new roles → save. Changes apply on next request; the member may need to refresh to see new sidebar links. Avoid removing all roles — members need at least one effective permission set. Removing members Remove (or deactivate) when someone leaves the agency. Removal frees a seat for the next hire and cuts off access to team data. Removal is immediate — export personal handoff notes before removing if policy requires. Seat usage explained The seat usage card compares: Included seats from your subscription Active members currently counted Sometimes pending invites that will consume seats upon acceptance Plans may bill extra seats beyond the bundle. Watch the card before sending ten invites during expansion. If invites fail with a seat error, either upgrade the plan (owners with billing access) or remove inactive members first. Invitation states | State | Meaning | |-------|---------| | Pending | Sent, not yet accepted | | Accepted | User joined; moves to Members | | Expired / revoked | No longer valid | Clean pending lists monthly — stale invites confuse reporting. Point them to Welcome help article and home tour Role promotion 1. Members tab → edit roles 2. Add Senior or Approver role 3. Tell them to re-login if sidebar does not update Departure Friday 1. Disciplined invitation hygiene prevents shadow accounts and surprise billing — treat seats like desk keys in a physical office.
